The photographs are required to be 4 cm x 3 cm with a plain white background in which your full face clearly appears looking straight with no particular facial expression.

The Certificate of Eligibility is issued by the regional immigration authority in Japan and confirms your eligibility to enter the country. Usually, it is the school that you applied to that applies for your COE on your behalf. It helps speed up the process of your visa application.

Application Process for a Student Visa

Step 1: Accept Admission Offer and Submit Required Documents

Accept your admission offer from the Japanese school, submit your financial sponsor’s documents, and pay the enrollment fee. Your school will apply for your Certificate of Eligibility on behalf of you.

Step 2: School Submits COE Application to Immigration

The school forwards your COE application to the Immigration Department. It generally takes 6-8 weeks for the processing, but it may extend to 12 weeks or even more in some cases.

Step 3: Get the COE from the School

In case of a successful grant of the COE, the school will issue an electronic copy or physical copy, or both to you. Then, you’ll have to pay for your first semester’s tuition fees.

Step 4: Get COE Converted into Student Visa at Embassy/Consulate

Apply and schedule an appointment at the Japanese embassy or consulate nearest you. Bring your passport, COE, visa application form, and pay any required fees. It usually takes around a week for the processing to complete.

Step 5: Get Your Student Visa and Prepare to Leave

Once your student visa is approved and stamped into your passport, you can make travel arrangements to Japan. If you are assigned to a dorm, plan to arrive by the designated dorm move-in dates. You can then start your study in Japan.

Required Bank Balance

As indicated earlier, you will be required to prove that you have enough money to sustain yourself while studying. You will need to have about 2 million Japanese yen annually, about 15,000 USD, to cover tuition fees, accommodation, living costs, and other expenses.

If you are unable to show proof of sufficient funds yourself, you can have a sponsor – usually your parent or guardian – pay the expenses on your behalf. This requires your sponsor to provide:

  • An original letter of sponsorship, accepting financial responsibility for you
  • Evidence of income and financial resources, such as bank statements and tax documents
